Information we collect
This section must list every category of personal information the organisation actually receives — anything typed into a contact or registration form, anything a payment provider passes back after a donation, and anything the web host records automatically.
How that information is used
State the specific purpose behind each category above: replying to an enquiry, confirming a place at an event, issuing a receipt. A purpose that is not listed here is a purpose the data may not be used for.
Donations and payment data
Name the payment gateway once it is chosen, and say plainly which parts of a transaction reach the organisation and which never leave the provider. Card and bank details handled entirely by the gateway should be described as such.
Cookies and measurement
This site currently sets no cookies and loads no third-party analytics. If either changes, this section must name each cookie or script, its purpose, and how a visitor can decline it.
Who else sees your information
List every third party that receives personal data — the payment gateway, an email or newsletter provider, the web host — and what each one does with it. If information is never sold or shared for marketing, say so here explicitly.
Your rights
Set out how someone asks for a copy of their information, corrects it, or has it deleted, and how long a reply takes. Note any rights that apply under the law of the applicable jurisdiction — governing jurisdiction not yet provided .
How long information is kept
Give a retention period for each category — enquiries, event registrations, donation records — along with the reason, since financial records usually have to be kept longer than the rest.
Changes to this policy
Explain how visitors are told when the policy changes, and keep the review date at the top of this page current.
